Job Title: Symposium 2023 Coordinator, Internal (Planning and Logistics)

 

This is a contract position.  The coordinator will work with the Symposium Committee, OPIRG staff, and the OPIRG Board of Directors to organize Rebel Knowledge, OPIRG Guelph’s Social and Environmental Justice Symposium, taking place March 3-5, 2023. 

 

There is another 100 hour position posted for an Internal Symposium Coordinator.  Applicants are welcome to apply for both; for the right candidate the two can be merged into one 200 hour position.

 

Terms:

 

Part-time, Casual Contract Position

 

Term of Employment:  

10 hours of paid training to be scheduled between Dec. 5 and Jan. 8

January 9, 2023 – March 10, 2023: an average of 10 hours per week

 

Work is flexible depending on needs and capacity; the total number of hours is 100.

Wage: $20/hour

 

Responsibilities:

Pre-Symposium Planning and Logistics

  • Ensure that  venues for the Symposium are booked 
  • Ensure that all venues have the required tech equipment and are as accessible as possible
  • In consultation with the Symposium Committee, schedule panels and workshops
  • Liaise with speakers and facilitators to ensure their tech, housing, transportation and any other needs are met
  • Accommodate an online version for the symposium and consider COVID-19 precautions for the current situation
  • Coordinate registration and communicate important information to attendees
  • Ensure that all participants’ accessibility, transportation, and childcare needs are met
  • Coordinate food and arrange for known dietary restrictions.

Operations during the Symposium 

  • Assist with the set up and take down of Symposium rooms and events
  • Work closely with the Information Table volunteers
  • Handle enquiries from speakers, facilitators and attendees

After the Symposium

  • Write a final report and/or answer exit interview questions
  • Attend a debrief meeting with the Symposium Committee, OPIRG Staff and the OPIRG Board of Directors

Other Responsibilities

  • Attend weekly Symposium Committee meetings
  • Assist with general tasks as assigned by the committee, where time permits
  • Contribute to Symposium timelines and task lists that can be used in the future
  • Attend additional OPIRG/other meetings as required

 

Qualifications:

  • Must be available for the entire Symposium:  full days on March 4th and 5th, and  possibly the evening of March 3rd.
  • Experience using Google suite
  • Experience with event planning
  • Public speaking skills
  • Strong attention to detail and effective time management 
  • Excellent English language oral and written communication skills
  • Comfort with navigating the University of Guelph campus and communicating with relevant departments (eg. for room bookings and tech rentals)
  • Excellent interpersonal skills
  • Demonstrated understanding of and commitment to anti-oppression theory and practice
  • Knowledge, expertise and experience in community activism/engagement, especially in implementing activities that are geared to bring about social, political, economic, or environmental change   
  • Ability to work as part of a committee but with little day-to-day supervision
  • Ability to effectively represent OPIRG Guelph in a variety of public forums    
  • Ability to stay calm under pressure 

Assets:

  • Experience with planning larger events, such as conferences or festivals
  • Experience organizing and hosting true hybrid events (where in-person and online participation is happening at the same time)
